Overview
The Office manager (Business Support Manager) will oversee the planning and organisation of all office-related functions. In a taxi company like ours, managing task delegation, scheduling, and resource (drivers and route) allocation efficiently is critical. This role will ensure that all administrative operations are carried out smoothly, from handling correspondence and maintaining accurate sales and accounts records to ensuring that all office processes are properly aligned with company goals. We are seeking a highly organised and detail-oriented Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong communication skills and be proficient in various administrative tasks, ensuring smooth operations within the office. This role is essential in maintaining an efficient workflow and providing support to both staff and management.
Responsibilities
- This role will involve overseeing key compliance and documentation procedures, such as managing insurance policies, contracts, and other vital records, which are essential in our industry where customers’ safety, data protection, time management, comfort and adherence to regulations are top priorities. As a Business Support Manager the person will play a crucial role in ensuring that our internal systems operate in a structured and compliant manner, contributing to our ability to meet client expectations and remain competitive in the taxi service market. e administrative support to ensure efficient operation of the office.
- Manage office communications, including phone calls and emails, demonstrating excellent phone etiquette.
- Assist in human resources tasks such as onboarding new employees and maintaining personnel records.
- Utilise for basic financial tracking and reporting.
- Organise meetings, including scheduling, preparing agendas, and taking minutes.
- Supervise clerical staff and assist with team management to enhance productivity.
- Maintain an organised filing system for both physical and digital documents.
- Handle correspondence and prepare reports as needed.
- Ensure that the office environment is welcoming and well-maintained.
Experience
The successful candidate will have:
- Proven experience in an administrative role or similar position.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Familiarity with human resources processes is advantageous.
- Proficiency in or similar accounting software is desirable.
- Excellent communication skills, both verbal and written, with a focus on clarity and professionalism.
- Demonstrated ability to work collaboratively within a team while also being able to manage individual responsibilities effectively.
- Experience in supervising or managing clerical staff is a plus.
